Getting Started

What is AiTenderBid?
AiTenderBid is AI tender and bid software for Malaysian construction contractors, built on the AiServa platform by VYROX INTERNATIONAL SDN BHD. It finds tenders, downloads and reads tender packs, prices the Bill of Quantities, raises contract and technical issues, drafts RFQs, a programme, a resource plan and QHSE documents, tracks market prices, and exports 19 reports.
How do I start?
Sign up, upload a tender folder to your Knowledge Base (or let the daily search download one), attach it to an AI Agent task and type /prepare-bid. Answer the short interview and the AI bid team does the rest.
Does it run in a browser?
Yes, in any modern browser. There is also an AiServa desktop app for Windows, macOS and Linux, which can start a bid run as well.
Who is it for?
Building, civil, infrastructure, industrial and marine contractors of CIDB grades G1 to G7, and the directors, bid managers, estimators, QS, contracts managers, planners, QA/QC engineers, safety officers and purchasers who prepare their bids.
Do I need to change how my team works?
No. Your files stay in Excel, Word, PDF and PowerPoint. The AI works on the same BQ, drawings and conditions your team already uses, and every output is a normal Office file.
Can I try it on a past tender?
Yes, and it is the best way to judge it. Run a tender you have already priced and compare the AI's priced bill, issues and programme with your own.
Which sources does the tender search cover?
Eight sources, each of which can be switched off: the open web and newspaper adverts, MyProcurement and ePerolehan, JKR federal and state, state governments and agencies, ports and marine authorities, utilities and GLCs (TNB, PETRONAS, Prasarana, MRT Corp, Malaysia Airports, PLUS), developers and private employers, and CIDB. You can add your own sites.
When does it run?
Daily at 07:00 Malaysia time by default. You can change it to weekdays only or weekly.
How does it decide what matches?
It checks each tender against your settings: states, CIDB grade and codes, value range, minimum days before closing, words to skip, compulsory briefing preference, Bumiputera status, and whether to include supply only, services and maintenance, consultancy and joint ventures. Each match carries a short "why it matches" note.
What happens to "bumiputera sahaja" tenders?
If your status is set to Not Bumiputera, tenders marked bumiputera sahaja are rejected automatically.
What does it record for each tender?
Title, employer, location, scope, closing date, eligibility, estimated value, link, category and why it matches.
How do I track tenders after that?
With nine statuses in three tabs: Open (New, Shortlisted), Bidding (Preparing, Submitted) and Outcomes (Won, Lost, Withdrawn, Dismissed, Cancelled). Tenders past their closing date show as closed. The list exports to Excel.

Tender Documents

Does it download the tender documents?
Yes, where they are public. The server downloads up to 30 documents per tender, up to 50 MB each, with up to three tries, and sorts them as Notice, Tender Document, Bill of Quantities, Drawings, Specification, Addendum, Form or Document.
Where are they saved?
In your Knowledge Base under Public, Tenders, then the tender title, ready to attach to /prepare-bid.
What if a document needs a login or is sold?
It stays as a link with the reason, such as login required, sold at the office or web page only, so nobody assumes it was downloaded.
Can it be fooled by a web page posing as a PDF?
No. The server checks the real file type, so a web page is never filed as a document.
Can I download several tenders' documents at once?
Yes, as one ZIP for the tenders you select.

Bid Preparation

What does /prepare-bid do?
It turns the attached BQ, drawings, specifications and Conditions of Contract into a priced, reviewable bid with issue registers, a tender programme and a resource plan, worked by eight AI roles: structural engineer, QS, project manager, contracts, QA/QC, HSE, planner and resources, led by a bid lead.
What is the quick scan?
Before any AI runs, the server parses the blank BQ, lists the drawings, detects grades and flags things like a missing section drawing, aluminium formwork, provisional sums and wrong-column formulas. It also finds up to three similar past bids.
How many interview questions are there?
Between 5 and 14, chosen from what the quick scan found. Each comes with a recommended answer already picked, and you can accept all recommendations at once. A skipped question becomes an issue that states what was assumed.
What stages does a run go through?
Files Received, Quick Scan, Your Answers, Reading Documents, Drawing Takeoff, Pricing, Issues, Programme and Resources, Quality, HSE and Method, and Bid Ready with the tender total.
What if a run stalls?
A run with no file written for three hours is detected and the bid is marked Needs Attention.
Do I have to rerun everything after answering issues?
No. Refresh reruns only the roles whose issues you answered and reports the tender total before and after. You can also ask in chat for one specific change.
Does it learn from earlier bids?
Yes. It reuses answers for the same BQ, offers rates from similar past bids and saves lessons that are applied on later runs.

BQ Pricing and Accuracy

How is a rate built?
From material, labour and plant terms, with labour and plant priced as hourly rate divided by output. The rate is the sum plus any constant, times one plus your overheads and profit, rounded to two decimals. The server does the arithmetic.
Where do basic prices come from?
Your latest supplier quote in the Pricing Database first, then your organisation rate, then a public price from the indicative library.
What is the confidence score?
A score for each item from how its figures were obtained: 90 for drawing measurements or company policy, down to 40 for unsupported judgement, and 100 when a person overrides. The item takes its weakest score. Green is 75 and above, amber 50 to 74, red below 50.
Does it check the BQ quantities?
Yes. It makes an independent take-off from the drawings and raises a commercial issue for any quantity more than 5% different.
Does the AI ever invent quantities?
No. Every quantity is labelled measured, derived, assumed or missing, and an unreadable drawing value becomes an open question, never a guess.
What happens if I change a basic price?
Every item that uses it re-prices at once in the browser, using the same calculation as the server. Save keeps it and writes it to the log.
Can I stop the AI changing an item?
Yes. Lock it. Locked items never change.
What benchmarks does it check?
For high-rise residential frames: RM 550 to 900 per m2 GFA, 0.35 to 0.5 m3 of concrete per m2 GFA and 100 to 180 kg of rebar per m3. Results outside the range raise an issue.

Contracts and Risk

Which standard forms does it compare against?
PWD 203A, PAM 2018, CIDB 2022 and FIDIC.
What clauses does it review?
LAD, bonds, retention, insurances (CAR, public liability, workmen, professional indemnity), payment, fluctuation, extension of time and variations, claims and time bars, indemnities, design liability and the defects liability period.
What are the six registers?
Technical, Commercial, Contract, Clarifications, QA/QC and HSE, exported as one workbook with a summary sheet.
How are issues referenced?
Every issue from a document carries the document, page, clause and a quote under 40 words, plus severity, type, who to ask, the proposed action and the BQ items it touches.
What makes an issue high severity?
Affecting more than about 2% of the bill, LAD or safety.
Does it draft qualifications?
Yes. The contracts role drafts qualifications and exclusions wording and a clarification list ready for your tender query letter.

RFQs and Suppliers

How are RFQs created?
Tick BQ rows and press Create RFQ. The AI drafts the title, scope, requirements, delivery, terms and questions, and can suggest up to six suppliers from your own list. You edit and name the suppliers.
What does each supplier receive?
A Word letter with scope table, terms, conditions, signature block and acknowledgement slip, and a protected Excel price schedule where only the shaded cells can be edited.
Can our rates leak into an RFQ?
No. Rates, amounts, totals, markups, confidence and internal remarks are never included, the draft is checked for money figures, and quantities come from the bill.
Does it email suppliers?
No. You send the files. Statuses go Draft, Sent, Quoted, Closed.
How do returned quotes get recorded?
With /update-pricing-database: the AI reads the quotations, shows every price for you to confirm, and records only what you approve.

Market Prices and Pricing Database

What is the market prices monitor?
The /market-prices skill checks public sources weekly at 08:00 for the materials you choose to monitor, and records the current and previous price, source, location and date. The server calculates the change.
Are old quotes overwritten?
Never. Every price is kept with its supplier, project and date, and organisation rate changes are recorded too.
When is a quote stale?
After 180 days. The trend compares the median of the newest 180 days with the 180 to 540 days before.
Are AI prices mixed with real quotes?
No. The AI's own prices are recorded under the supplier name AI Estimate.
Who can edit the Pricing Database?
Console admins and the pricing editors your admin names.
Is there a starting rate library?
Yes, indicative Klang Valley prices for concrete, reinforcement, fabric, formwork, brickwork and waterproofing, each with its source and month. Your organisation keeps its own copy.

Programme, Resources and QHSE

How is the programme calculated?
By the critical path method on a working-day calendar with Malaysian public holidays, with FS, SS, FF and SF links, lags and not-before dates. The server calculates float, the critical path and the finish against completion.
Can I open it in Microsoft Project?
Yes, as MS Project XML, plus an Excel Gantt with the critical path and milestones.
What does the resource plan include?
Manpower and plant histograms, schedules with peaks, a materials call-off with order-by dates and an organisation chart, costed from your own libraries.
What QHSE documents are drafted?
Inspection and Test Plan, testing schedule, HIRARC, Project Quality Plan, HSE plan, safety methods and method statements adapted from your past submissions.
How is HIRARC scored?
On the DOSH 5 by 5 matrix: 1 to 4 Low, 5 to 12 Medium, 15 to 25 High. The server refuses a residual risk higher than the initial one.

Reports and Files

How many reports are there?
Nineteen, in Excel, Word, PowerPoint and MS Project XML, in six groups, plus a tender pack set of summary report, briefing and quantity comparison.
Is my original BQ changed?
Never. Every export is a copy with quantities and rates filled in and amount formulas rewritten to ROUND(Qty x Rate, 2).
Can I send the client a clean bill?
Yes. The Client Submission preset exports the priced bill with nothing internal.
Can I use my own templates?
Yes, for Tender Information, Submission Checklist and Bid Risk List. The server fills them cell by cell and keeps the formatting.
How do I get many reports at once?
Tick up to 20 bids under Bids, Outputs, and download one ZIP with a folder per bid, or email them as attachments.

Collaboration and Control

Can my team comment on figures?
Yes. Every BQ cell and every AI issue has a thread. Anyone who can view the bid can comment, and messages appear for everyone within seconds.
Can I attach photos and files?
Up to 10 files per message, 25 MB each, including camera photos shown inline. Knowledge Base links keep each reader's own access rights.
Who can change the bid?
Access follows the Knowledge Base folder: View opens the bid, Contribute saves changes, and Open As is view-only.
Is there an audit trail?
Yes, an append-only log of every save with the rows whose figures moved and the new total, every AI edit and run, issue events, RFQs, pricing changes, exports and who opened the bid.
Can the AI send anything on its own?
No. Updates follow plan, confirm, apply, and the AI never emails suppliers or clients.

Malaysian Standards

Which methods of measurement are supported?
SMM2, SMM3, CESMM2, MyCESMM and NRM2, detected from the BQ, with your interview answer taking priority.
Does it understand SMM3?
Yes. SMM3 is the RISM edition of July 2025, with 29 sections that add IBS and MEP.
Which safety laws does it reference?
OSHA 1994 and its 2022 amendments, FMA 1967, BOWEC 1986, DOSH guidelines and CIDB requirements.
Does it handle Malaysian working weeks?
Yes. The interview sets Monday to Saturday, Monday to Friday or seven days, and the programme calendar includes Malaysian public holidays.
Are prices in Ringgit?
Yes. Rates are in RM, and RFQ terms default to prices excluding SST.
